Agent, Mailroom and Reception

The location in Montréal, Quebec, Canada, is seeking talent to fill the position of Agent, Mailroom and Reception. This job is full-time permanent.

Overview: Reporting to the Manager, Administrative Services, your role will consist in executing tasks in mailroom and reception to meet the needs of Domtar House employees.

Your challenges:  
•    Sort mail (Canada post, internal mail, various courier services) and insure the shipment of packages, letters, computer equipment, checks, bank deposits, etc);
•    Act as a backup for the receptionist when needed and perform all related tasks while respecting procedures and guidelines;
•    Communicate with established transportation suppliers to obtain price quotes and track shipments;
•    Maintain inventory of copy paper and ink cartidges for small format printers for employees of Domtar House;
•    Post communications for Domtar house events;
•    Assist the building operation team with the preparation of conference rooms for special events, and, occasionally, help in the reorganization of offices;
•    According to employees requests, use the SharePoint site to check and confirm the availability of conference rooms and make reservations, while respecting the specificities of the rooms;
•    Coordinate pickups and provide employees with the procedures for archiving documents offsite;
•    Take photos of the new employees and consultants and transfer them to the receptionist to activate their access card;
•    Prepare and install/ remove the name plates for new employees or those who leave;
•    Act as a backup in the absence of a co-worker and perform other related duties on the mailrooms services.
 
Your profile:   
•    You hold a high school degree;
•    You have a minimum of one year experience in a similar position;
•    You are interested in learning and acquiring new skills;
•    You are proficient in Microsoft suite;
•    You are able to raise a weight of approximately 40-45 pounds on a regular basis;
•    You are perfectly bilingual (French and English)
