The location in Johnsonburg, (Pennsylvania, United States), is seeking talent to fill the position of Pulp & Power Administrative Assistant. This job is full-time permanent.
The position provides administrative support directly to the Fiberline, Power, and Maintenance Department management to ensure the efficient day-to-day functioning of the department. They are responsible for maintaining organized records and documentation, tracking operational and safety metrics, supporting inventory management, and coordinating administrative processes while ensuring compliance with company policies, regulatory requirements and record retention policies.
This role requires regular access to active manufacturing and industrial process areas to support department operations. The Candidate must be able to safely navigate throughout the facility, including climbing stairs and navigating through environments that may be hot, noisy, dusty, or otherwise typical of a paper manufacturing facility. Appropriate personal protective equipment (PPE) is required while in production areas.
This role includes but is not limited to the following:
- Provides administrative support to department managers, supervisors, and operations and maintenance personnel.
- Maintains electronic and physical filing systems to ensure records are accurate, organized, easily accessible, and in accordance with company record retention policies and regulatory requirements.
- Assists with compliance documentation, audits, and departmental recordkeeping activities.
- Manages document control processes by organizing, updating, distributing, and archiving business records, procedures, and other controlled documents.
- Tracks, compiles, and distributes Key Performance Indicators (KPIs), inventory records, production and safety metrics, and departmental reports.
- Orders, maintains, and distributes office supplies to ensure uninterrupted departmental operations.
- Coordinates and tracks departmental obligations and commitments, including meetings, audits, monthly reporting, training requirements, and other recurring deadlines. Provides timely reminders to department personnel to ensure compliance with schedules and commitments.
- Organizes and coordinates all logistics for departmental meetings and events, including scheduling, meeting materials, recording meeting minutes, catering or lunches, expense tracking, and company credit card purchasing and reconciliation.
- Coordinates business travel arrangements for department personnel.
- Performs other administrative and operational duties as assigned.
Preferred Qualifications:
- Associates degree or certification in clerical accounting or business-related field preferred. A minimum of a high school education or equivalent with related experience.
- Strong organizational skills with exceptional attention to detail.
- Experience with document control, record retention, and records management.
- Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint and the ability to learn new programs.
- Ability to prioritize multiple assignments while meeting deadlines.
- Must be able to work independently and have the initiative to learn and contribute to various aspects of the business.
- Strong written and verbal communication skills and some familiarity with basic business concepts and practices.
- Self-motivated with excellent problem-solving and time management skills.
