The location in Crofton, British Columbia, Canada, is seeking talent to fill the position of Human Resources Coordinator. This job is full-time permanent.

The Human Resources Coordinator is responsible for providing confidential administrative support for human resources, including but not limited to customer service, recruitment and selection, onboarding and orientation, absence management, training and development, compliance, employee relations, employee engagement, employee recognition, and records management. This role serves as the initial point of contact for employees, managers, and job applicants, and is responsible for the accurate processing, tracking and coordination of requests for service and business processes to support Human Resources for the Mill.

All administrative functions are carried out consistent with company policy, union collective agreements, and appropriate government and legislated regulations.

General

  • Reviews, adheres to, and directs the adherence to safe work procedures in the workplace and generally promotes a safe work environment.
  • Maintains immaculate data integrity consistent with organizational policies and legislative compliance.
  • Actively engages and participates in projects and initiatives, in a continuous improvement environment.
  • Work closely and effectively with other departments to enhance working relationships and efficient administration of programs.
  • Assist in the development and presentation of materials to employees such as pre-retirement program, annual benefit re-enrolment, and Mill newsletter, as required.
  • Performs general administrative/support work relevant to the Human Resources.

Recruitment

  • Maintains the job posting process, including managing the applicant tracking system, webpages, job boards and social media sites.
  • Maintains various databases related to the process of recruitment and selection, such as: interview questions database; coordinating applications and resumes for review as required; preparing interview packages; scheduling candidates and panel members and administering employment testing as appropriate; as well as maintaining appropriate job competition files.
  • Facilitates pre-employment administrative functions including background checks and hire packages, etc.

Onboarding & Orientation

  • Administers and tracks the new employee package, distributing internal checklists, and following up on associated actions as required.
  • Creates new employee files, completes new hire data entry, coordinates orientation events and mandatory new hire training and other new employee actions, as necessary.

Training & Development

  • Provides administrative support for training and development initiatives, including event coordination.
  • Supporting the Training Coordinator, Registers, tracks, and confirms employees in training courses and workshops and responds to related inquiries.

Employee Relations

  • Provides administrative support to various Committees by preparing and issuing agendas, taking, and preparing minutes, tracking, and following up on action items and distributing information as necessary. 
  • Assists with setting up confidential meetings and manages the filing of letters and other documentation.

Education & Experience

  • Certificate or diploma in Business Administration.
  • A minimum of two-years office related experience, in a HR related role is preferred.
  • A combination of training, education and experience may be considered, where that experience includes working in a complex unionized environment. 
  • Experience in an industrial and/or manufacturing setting will be an asset.

  • Demonstrated ability for data analysis, reporting and assembling data and documents using high level applications of Microsoft Excel, Access, PowerPoint and related applications.
  • General knowledge of human resources and safety policies, procedures and their applications, and the functions of human resources and safety.
  • Ability to work independently and in a team environment and to complete work assignments with minimal supervision.
  • Working knowledge and the ability to learn new programs such as SAP, SharePoint, UKG, and Adobe.
  • Knowledge of collective agreements and WorkSafeBC requirements is an asset.
  • Customer service focused ensuring regular two-way conversations throughout the organization. 
  • Excellent written, verbal and electronic communication skills including the ability to articulate complex information in manner that is easily understood to non-HR individuals.

This is an on-site administrative role in an industrial environment. The base salary will be based on experience and offered between $57.6 to 72K per annum.
